Obtain Permission Before Recording

Rock art surveys will be added to the database only with the permission of the land manager/owner. When obtaining permission to record a rock art site, the land manager/owner must be made aware and agree that the recording will be performed using the web based DigitalRockArt application. Each government agency will use their own procedures and forms. These are frequently called Volunteer Service Agreements and will describe the work to be performed. In most cases, separate forms must be completed for each individual on the recording team.

Volunteer Service Agreements will usually include a non-disclosure clause requiring that the location of archaeological sites will be regarded as confidential information. Public land managers should feel comfortable that inclusion of a survey in the DigitalRockArt database is consistent with any non-disclosure agreement. Specifically:

  • No precise location or access information will exist on the database
  • Site names and site numbers are determined by the land manager
  • Access to site names and site numbers are restricted based upon user IDs
  • Any images or data that are deemed too sensitive for publication will be excluded from the survey
  • Access to the database is restricted to those having logon IDs and passwords

Public land managers will be given web access to the application and will receive Rock Art Inventory DVDs (or CD-ROMs) on a periodic basis. Private land owners will receive Rock Art Inventory DVDs when the survey is completed. Paper reports may be produced when required.

A Survey Transmittal Form must accompany the digital images sent to the DigitalRockArt administrator for any survey to be included in the database. The transmittal form identifies the public land manager, the recording team members, and the site or sites to be surveyed. A copy of the form is available on the www.digitalrockart.org web site.

A suggested form to use for obtaining permission from private land owners may be found on the www.digitalrockart.org web site. This form may be used as a transmittal document for surveys on private lands.
